Event Privacy Notice

Coherent Solutions pays significant attention to issues related to privacy and data protection, follows principles of transparency, purpose limitation and data minimization. In order to explain how your personal data is used, this Event Privacy Notice was prepared.

1. Data Controller

The Organizer of the Event and the Controller of data collected under this form is a Company as provided at the Event webpage.

2. Personal Data and Purpose of Collection

The Company may collect the following personal data categories from the Event attendees

  • Name and surname,
  • Company name and position,
  • Specialization and (or) technology,
  • E-mail address,
  • Phone number (optional),
  • Source of information about the Event (optional).

The Company will use collected personal data for the following purposes:

  • Managing Event registration and participation,
  • Communicating organizational information about the Event,
  • Contact attendees regarding current or future recruitment opportunities (subject to consent),
  • Sending marketing communications about Company activities (subject to consent)

During the Event, the Company may take images and (or) record videos in which attendees may be identifiable (subject to consent). These materials may be stored for up to 2 (two) years after the Event and used for the Company’s marketing and promotional purposes, including publication on the Company’s website, social media channels, and other communication and marketing materials.

The Company will not use personal data for purposes other than those stated above.

3. Legal Basis of Personal Data Processing

Personal data submitted to the Company is to be provided voluntary and for above-described purpose(s). However, failure to provide it may prevent participation in the Event.

Processing of Personal data for Event organization is based on the Company’s legitimate interest (Article 6(1)(f) GDPR). Processing personal data for recruitment and marketing purposes, as well as processing images and (or) record videos in which attendees may be identifiable, is based on your consent (Article 6(1)(a) GDPR).

Consent can be withdrawn anytime by submitting a consent withdrawal request to employerbranding@coherentsolutions.com. Withdrawal of consent shall not affect the lawfulness of the data processing carried out prior to the withdrawal of consent.

4. Data Storage and Retention Period

Personal data submitted to the Company will be stored securely.

Personal data processed for Event organization will be retained for up to 30 days after the Event.

Personal data processed for sending marketing communications about Company activities (marketing purposes) may be stored for up to 2 (two) years.

Personal data processed to contact you regarding current and future job opportunities (recruiting purposes) may be retained Company’s recruitment ATS for up to 3 (three) years. You can find more details in Privacy Privacy Policy for Job Applicants.

When collecting, processing and storing your Personal data, the Company is committed to the principles of integrity and confidentiality. The Company takes all reasonable technical and organizational measures to ensure that the Personal data you are sharing with the Company is in secure.

5. Data Sharing

Due to the international presence of Coherent Solutions, Personal data processed hereunder may be shared within Coherent Solutions affiliates, including outside the EEA.

Personal data processed by Coherent Solutions hereunder may also be transferred to third parties acting as data processors of Coherent Solutions, including, but not limited to, servers, technical maintaining services and other service providers. In cases where another recipient of your Personal data is based outside the EEA, the Company will ensure that a safeguard recognized by the GDPR is used to enable the transfer by entering into the EU Commission’s standard clauses (SCC) with the recipient of the Personal data outside the EEA. This means that the recipient guarantees that the level of protection for your personal data afforded by the GDPR still applies, and that your rights are still protected.

6. Privacy Rights

You may exercise your privacy rights at any time:

  • Withdraw your consent at any time,
  • Access your personal data,
  • Request to rectify inaccurate data,
  • Request deletion of your personal data,
  • Object processing if personal data is processed on a legitimate interest legal basis,
  • Lodge a complaint with supervisory authority.
